Privacy notice
What we collect
When you register for an event, donate, volunteer or subscribe, we collect the information you provide: names, email, phone, date of birth or age group, emergency contacts, guardian details for minors, event preferences (such as T-shirt size), donation details and your communication choices. We record waiver acceptances with the waiver version, time and limited technical information (a one-way hash of your IP address and your browser type) as evidence of consent.
Payments
Payments are processed by Stripe and PayPal on their own secure pages. We never receive or store your full card number, security code or bank account details — only the processor's transaction references, amounts and status.
How we use it
To run events (registration, check-in, safety and emergency contact), to process and acknowledge donations, to coordinate volunteers, to send transactional messages about your registration or gift, and to send occasional newsletters, event announcements and fundraising updates to people who have registered, donated, volunteered, subscribed or otherwise asked to hear from us. Every such email has a one-click unsubscribe link, and we stop immediately when you unsubscribe.
Minors
Participants under 18 must be registered with a parent or guardian's consent. We never display a minor's personal information publicly and limit access to authorized staff.
Email choices
Every marketing email includes an unsubscribe link and you can manage preferences at any time. Unsubscribing does not stop essential messages about registrations, payments or donations you make.
Who can see your data
Only authorized One Team One Dream staff and volunteers with a need to know, protected by strong passwords and mandatory two-factor authentication. Our service providers (database hosting, payment processors and email delivery) process data on our behalf. We do not sell personal information.
Retention
We keep records only as long as needed for our programs, accounting and legal obligations, and then delete or anonymize them.
